Call for Nominations for WCSA Board of Directors 1-Year Term Begin January 2022

Nominations are now being accepted for the following positions:

 

WCSA Executive Officer Duties and Powers

President

Vice President Baseball

Vice President Softball

Secretary

Treasurer

President – Presides at WCSA, INC. meetings and assumes full responsibilities for the operation of WCSA, Inc. The President must see to it that all WCSA personnel is properly briefed on all phases of rules, regulations, and policies of WCSA, Inc. The President is the contact between WCSA, Inc. and other organizations. The president will coordinate any inter-league play. If the president is absent for any reason, then the more senior of the Vice Presidents in attendance will preside. The President will handle the appeal of a Vice Presidents decision. The President picks all aspects of the all-star uniforms.

Vice President Baseball – Assists the President in checking birth records and eligibility of players and compiling any other paperwork. Supervises annual tryouts. Prepares game schedules with the scheduling coordinator and supervises the baseball division commissioners. Coordinates with the chief umpires. The VP of baseball will handle the appeal of a commissioner’s decision. Assist the President with inter-league play for baseball.

Vice President Softball – Assist the President in checking birth records and eligibility of players and compiling and other paperwork. Supervises annual tryouts. Prepares game schedules with the scheduling coordinator and supervises the softball division commissioners. Coordinates with the chief umpires. The VP of softball will handle the appeal of a commissioner’s decision. Assist the President with inter-league play for softball.

Secretary – Maintains a register of members and directors. Records minutes of meetings for permanent record. Responsible for sending out notice of meetings. Maintains a record of WCSA. Inc activities. Conducts registrations. Assists the treasurer on collections of outstanding registration fees. Responsible for bids and purchasing of Fall/Spring uniforms.

Treasurer – Tracks registration payments. Signs checks co-signed by another officer or director. Dispenses WCSA, Inc. funds as approved by the board of directors. Reports on the status of WCSA, Inc. funds. Keeps WCSA, Inc. books and financial records. Prepares budgets and assumes the responsibility of all WCSA, Inc. finances.

Co-Treasurer – Responsible in assisting the treasurer in all duties defined as Treasurer. Reports status of WCSA, Inc. Funds, books, and finances in the absence of the treasurer.

Field Maintenance Officers – Responsible for maintaining playing fields and common areas of WCSA, Inc property. Coordinates all repairs and improvements to WCSA, Inc. property or obtain bids for such improvements. Responsible for the safety of WCSA, Inc. property. Responsible for the parking lots and other common areas. The field maintenance officer will receive and process/oversee maintenance request from the commissioners. Responsible for reporting closures and opening of the fields due to weather conditions to the president and commissioners.

Equipment Manager – Responsible for inventory of players equipment, record keeping supplies and field marking supplies. Duties include issuing equipment to Managers. Maintains equipment in good playing condition. Keep records on issued equipment. Obtains bids for any equipment replacements. Receives equipment after end of season and All-Stars. Equipment is defined as:
• Playing Equipment – Bags, catchers gear, batting helmet, balls, and tee (t-balls only)
• Record keeping supplies – Scorebooks and pitch count sheets
• Field Marking Supplies – Bases, plates, marking paint, and marking chalk

Safety Coordinator – Collects and process background checks on all adults involved with direct contact of underage players. Contact person for accident paperwork and proper procedure for handling said accidents. Inspecting AED and first aid supplies yearly to make sure they are up to date. Responsible for safety of WCSA, Inc. property.

Team Mom Coordinator – Important liaison between board of directors and each team. Responsible for player participation in fundraising and maintaining accurate records for such fundraising. Responsible for getting three (3) bids and scheduling pictures. Responsible for obtaining three (3) bids and ordering trophies or other awards. Responsible for distributing or coordinating of uniforms to all teams. Assist All-Star team moms with fundraiser letters and other duties expected of them. It is suggested that the individual who accepts this position assembles a committee of other individuals to organize and execute these tasks.

Sponsorship Coordinator – Responsible for tracking and invoicing team sponsorships to include spelling and artwork. Responsible for tracking and invoicing any other facility sponsor or auction sponsors. Responsible for getting three (3) bids for any signage needed at the fields.

Concession Stand Coordinator – Responsible for daily business of concession stand during the fall and spring season. Balance till monies to register totals daily. Deliver money and register totals to treasurer for deposit. Purchase and inventory food items. Report to president or treasurer of any monetary discrepancies, as necessary. Formation of a committee is also highly advised.
